For churches

Members, roles and two-step sign-in

Members are the people who can sign in and work on your church's gallery. Admins and owners manage them in Settings → Members. Visitors and givers never need an admin account.

Roles #

RoleCan
EditorAdd and edit missionaries, newsletters and announcements. Editors see Your account instead of Settings.
AdminEverything an editor can, plus settings, keys, members and the setup wizard.
OwnerEverything an admin can, plus billing (hosted) and adding or managing other owners. Owners always have Finance.

The Finance switch #

Giving records are more sensitive than missionary profiles, so the treasurer's screens are separate from the roles above. An owner switches on Finance next to a member's name in Settings → Members. Members with Finance, and every owner, see Giving in the top bar. Everyone else, including admins, does not. See For treasurers.

Invite someone #

  1. In Invite by email, type their email address.
  2. Choose their role and press Invite.
  3. Let them know. If they already have an account, they have access straight away. If not, they open the admin and choose Create account with that same email; they get access when they sign up.

People who haven't created an account yet are listed with Invited.

The first time an invited person opens the church in the admin, a short note above the page reminds them that the church has agreed to the Terms of Service, points to the acceptable use rules, and asks them to keep what they see about missionaries and givers private. Got it closes it for good.

Remove someone #

Press Remove next to them. Their account is kept, so you can invite them again later. Only an owner can remove or change another owner.

Two-step sign-in #

Everyone who works in the admin signs in with a password and a 6-digit code from an authenticator app on their phone, because the admin holds private family details and support amounts. You set it up once, the first time you sign in. The database itself refuses member actions from a session that hasn't passed the second step.

  1. Install an authenticator app if you don't have one: Google Authenticator, Microsoft Authenticator, Authy, 1Password, or the Passwords app on an iPhone.
  2. Scan the code on the screen with the app. If you can't scan it, open Can't scan it? Type this key instead.
  3. Type the 6-digit code the app shows for Missionary Lane, and press Turn on two-step sign-in.
  • Codes change every 30 seconds. If one doesn't match, try the newest one.
  • In Settings (or Your account), Add another device sets up a second phone or tablet in case one is lost.

Lost your phone? #

Ask an admin or owner of your church. In Settings → Members they press Reset two-step next to your name, after making sure it's really you. Next time you sign in with your password, you set up a new authenticator app.

Admins and owners find Settings → Legal and your data. It shows the versions of the Terms of Service, the Data Processing Addendum and the Privacy Policy your church has accepted, who accepted them and when, with links to those versions.

When the terms change #

  • Owners are emailed before a material change takes effect.
  • From then, the next owner to open the admin sees the change first, with a box to accept it for the church and Accept and continue.
  • Not now lets owners keep working for 30 days. Admins and editors see a reminder to ask an owner.
  • A change that isn't material needs no click; a note says what was updated.

Export all of your church's data #

An owner, signed in with two-step sign-in, presses Download all church data. You get one JSON file with every record kept for the church (missionaries, letters, family and dates, announcements, members, giving, billing statements, acceptance records and the audit log) and a list of every stored photo, recording and document, each with a download link that works for 7 days. Each export is recorded in the church's audit log. Keep the file private: it includes givers' names and gifts.

When a church ends #

When a trial ends without a plan, or a subscription is cancelled, the gallery is paused and everything is kept for 90 days, so you can come back or export it. After that, the church, its records and its stored files are deleted. Billing statements are kept for 7 years.

More than one church #

If you belong to more than one church, choose Switch church in the top bar to change which gallery you're working on. Your role can be different in each.
